If you are unable to login to college machines using your EECS username and password, a most likely reason is that you have exceeded your file server storage quota or profile storage quota. You should ensure not exceeding your allowed quota limits to be able to continue using College machines using your EECS credentials.
Following some simple steps can ensure you don’t exceed your quota limit, as well as regularly backing up your files. Always save your files, documents, folders etc. only to your home directory instead of Desktop or Downloads or elsewhere. Files in the home directory are synced to your profile automatically. This means, in case of eventualities, all your files in the home directory will remain intact.
Disk Storage Quota (aka quota on file servers):
Different user groups have different allowances for file server disk storage. Read more about Disk Quota for information on allowances for different user groups.
Dealing with excess file server quota:
If your file server storage quota has exceeded (and was not addressed within the grace period), you’ll be locked out of using College machines. If this is the case, you’ll have to go to ITL helpdesk or CS327 to get the issue resolved. We strongly recommend not leaving things to come to this, i.e., please be watchful of the file server space you are utilizing. If you are near utilizing all of your allowances, please clean up to avoid redundancy; see if you can get rid of unwanted files etc. Unfortunately, we are not able to increase storage quotas over what is fixed at the start of an academic year for each user group unless otherwise agreed to do so for specific users.
Profile Storage Quota (Only relevant to staff machines):
In addition to files being synced in the home directory, users will also have files synced in their roaming profile. The roaming profile is used by Windows: when you log in, Windows copies it to C:\Documents and Settings\; when you log out, Windows copies it back again. The roaming profile includes the contents of your desktop, too.
When your profile exceeds the allowed quota, a popup message will appear with appropriate warnings, see below:
If this happens, you’ll have a new crossed icon appearing in the hidden icons trayset at the bottom right corner of your Windows desktop:
Click on the ProQuota icon to list all the huge files eating up your profile storage space. There will also be an indication (see red box) of the allowed profile storage space (i.e., maximum size) and your current profile size.
Dealing with excess profile quota:
If your profile storage space has exceeded (like shown above) delete files from Desktop, Downloads etc. or move them to your home directory. This will fix issues related to exceeded profile storage. Once you’ve done this, the crossed icon will disappear from the trayset on the bottom right corner of your desktop.
Note: Your profile will stop ‘syncing’ if you’ve exceed your quota.
